EPA gateway readiness checker

Work through the checklist below for a specific learner. Items marked * are mandatory — a single unchecked mandatory item means the learner is not ready for gateway. The tool scores optional items to give a readiness percentage and surfaces gaps for your next review conversation.

* Mandatory items — must all be checked before gateway can be recommended.

1. Programme completion

Minimum programme duration met (at least 12 months from start date)

OTJ hours threshold met (20% of contracted hours)

All KSBs evidenced to the required standard

2. Functional skills

Maths requirement met (Level 2 certificate or exemption confirmed)

English requirement met (Level 2 certificate or exemption confirmed)

3. Employer sign-off

Employer gateway declaration signed

Employer confirms learner is occupationally competent

Line manager has reviewed final progress review record

4. EPA registration and booking

Learner registered with EPAO

EPA method(s) and date(s) confirmed with EPAO

EPA preparation activities completed (mock, pre-EPA review)

5. Evidence and portfolio

Portfolio or evidence pack complete and accessible to EPAO

All evidence dated and signed off by assessor

No outstanding IQA actions on the learner's record

Prior learning adjustments (RPL) documented if applicable

6. Learner readiness

Learner briefed on EPA format, assessment criteria, and grading

Learner wellbeing check completed; no welfare concerns outstanding

Reasonable adjustments or special considerations submitted if required

How to use this checker

Run this for each learner at least 8 weeks before planned EPA date.
Any unchecked mandatory item blocks gateway — resolve before recommending.
