Ofsted inspection readiness checklist

Use this checklist as a monthly quality control tool, not just when inspection notice arrives. It is structured around the operational controls that frequently break under pressure: learner file quality, safeguarding evidence, review consistency, and IQA auditability.

Checklist sections

Learner file quality

  • Starting points and RPL are evidenced clearly.
  • Progress narrative is specific to each learner.
  • KSB coverage and OTJ status are current.

Safeguarding and Prevent

  • Staff training records are in date and complete.
  • Escalation and referral logs are auditable.
  • Learner safeguarding records are coherent and timely.

Progress review quality

  • Reviews are genuinely three-way where required.
  • SMART targets are time-bound and KSB-linked.
  • Previous target outcomes are explicitly reviewed.

IQA and audit trail

  • IQA sample plans match risk profile and volume.
  • Actions are closed with evidence of impact.
  • Version history can be produced quickly.

Recommended operating rhythm

  1. Run this checklist monthly with quality and delivery leads.
  2. Assign one accountable owner per section.
  3. Use RAG statuses to prioritise remediation before inspections.
  4. Review trend changes each month to track systemic issues.
