The adoption timeline: what to expect and what to manage
Understanding the typical adoption curve helps you design the right intervention at the right time.
Week 1 — Novelty phase

Common drop-off causes and immediate fixes
Cause: Prompt requires too much setup per use
Fix: Redesign the prompt to work with a simpler, shorter input. If the manager has to spend 10 minutes preparing input for a prompt that saves them 15 minutes, the net value is too low to sustain. Target 3-minute input → 15-minute output.
Cause: Workflow not accessible at the moment of need
Fix: Pin the prompt in the exact channel where that task arises. If status reports are written in Word, the prompt goes in a Word template header. If 1:1s are scheduled in Teams calendar, the prompt goes in the meeting template notes.
Cause: No visible consequence for non-adoption
Fix: Make adoption rate visible to the cohort weekly. This is not punitive — it's social proof in reverse. Managers who see their peers adopting at a high rate are more likely to self-correct than managers who have no visibility into how the cohort is doing.
Cause: Output quality is inconsistent
Fix: Review outputs weekly for the first three weeks. Any prompt producing inconsistent results needs immediate redesign. A manager who gets three bad outputs in week 1 will not use that prompt in week 3, no matter how well the underlying tool works in theory.
